Job Description:
Information Technology Services (ITS) at the University at Albany seeks applicants for an Asset and Scheduling Assistant to support a campus-wide project to replace all non-Windows 11 compatible computers by Fall 2025. This is a large project with a tight timeline. Faculty, staff, conference room, classroom, and research lab computers will be replaced.
The successful candidate will work both independently and collaboratively as a member of the project team to schedule appointments and rooms, track the availability, procurement, and receipt of computer/hardware assets; generate, edit and manage required reports; and update the asset inventory ensuring its integrity and authority for ongoing use beyond the project. They will have latitude and authority for independent decision-making and have authority to work with faculty, staff and department representatives directly and on behalf of the project. Requires knowledge of different tools/applications and how the data in each is used and related, including O365 applications (Teams, Outlook, Excel, Access, etc.), Smartsheet, and a ticket management application.
The project team members consist of the project manager, the Desktop and Mobile Computing service owner, the Field Support Group Deployment Group supervisor, and the ITS Central Business office, among others. A high degree of integrity in communications to the project team, faculty, staff and department representatives is required, including developing effective communications, and responding with regular and follow up communications to ensure the project needs and expectations are communicated to faculty, staff, and department representatives and their needs are communicated back to the project team.
All work must proceed efficiently and effectively. The work requires a high level of attention to detail and accuracy, ability to follow pre-defined processes and workflows accurately and the ability to work independently, and to make appropriate decisions, as part of a project team. While focus is on following established processes and workflows, they should also be prepared to identify, recommend, or implement continuous improvements to improve efficiency.
They must be able to complete work within scheduled time constraints and maintain a personal working schedule that allows work and daily responsibilities to be completed as scheduled. The successful candidate must have excellent customer service and communication skills, time management and work skills and the ability to work effectively under time constraints and difficult circumstances.
This position reports to the Manager, Desktop and Mobile Computing services, but will also work closely with and respond to questions and direct the work of other members of the project team.
Primary Responsibilities:
Ensure work proceeds without interruption, efficiently and effectively:
- Oversee, schedule, update and monitor required appointments and reservations for computer deployments to faculty, staff, classrooms, and conference rooms.
- Develop, maintain, and revise, as needed, an effective communications strategy to department contacts, their faculty and staff, ITS managers and supervisors to ensure appointments and deployments proceed efficiently and without disruptions.
- Create and maintain accurate records of machine deployments in keeping with on-going expectations for the ITS asset inventory, using appropriate tools and communication methods.
- Oversee, update, and manage all required reports, ensure accurate data is captured, updated, and confirmed through the entire decision-making and deployment processes.
- Track the availability, procurement, and receipt of computer/hardware assets, and update the ITS asset inventory and anticipate and communicate to the manager, the status of needed inventory in a timely manner to ensure work can proceed without interruption.
- Ability to work with different tools/applications, including O365 applications (Teams, Outlook, Excel, Access, etc.); Smartsheet, and a ticket management application.
- Make independent decisions and recommendations in alignment with project strategy and outcomes.
- Assist Service Owner with documenting decisions and ensuring compliance with larger ITS asset inventory expectations to ensure ongoing data integrity.
Additional Responsibilities:
- Be available to provide scheduled support and consultation outside normal business hours, including occasional evenings, holidays, or weekends, within reasonable professional obligation and expectation.
Requirements:
Minimum Qualifications:
- Bachelor's degree from a college or university accredited by a U.S. Department of Education (DOE) or by an internationally recognized accrediting organization or an associate degree and two years of full-time experience working asset or inventory management and data management.
- One year professional experience in a related field, such as inventory management, data entry, or scheduling.
- Experience creating, overseeing, and implementing an effective communications strategy to customers and decision makers.
- Experience with data management and ensuring data integrity across multiple tools/applications.
- Proficiency in O365 applications (i.e., Microsoft Office).
- Demonstrated ability to be self-motivated, to manage multiple priorities and tasks, and to work independently and within a team structure.
- Excellent communication and interpersonal skills including the ability to build solid working relationships with individuals of diverse responsibilities and professional backgrounds.

Primary Responsibilities:
Software Licensing:
- Review and respond to software license requests from faculty/staff/students.
- Distribute licenses in accordance with University and ITS policies and procedures.
- Maintain accurate records of software purchases, activation codes, distribution/assignment of software licenses, and chargebacks to departments.
Billing:
- Process monthly billing for ITS activities and track receipt of payments.
- Investigate any discrepancies in revenue.
Asset Management:
- Work collaboratively across ITS to ensure accurate asset management needs and processes are fulfilled in a timely matter.
- Ensure all purchases have the appropriate Asset Management forms/tags when received and disposed of.
- Record accurate information in the Asset Management database, including the addition and removal of assets.
Additional/Other Responsibilities:
- Manage relationships with staff from ITS and other departments on campus to facilitate transactions for all Central Business Office activities.
- Serve as a backup for coverage of reception area.
- Perform all operations in compliance with SUNY and New York State financial / procurement policies.

The successful candidate will be assigned to the Field Support (FSG) Deployment Group, which will work as a specialized team to deploy all new computers quickly and efficiently. The FSG Deployment Group will support the preparation and deployment/installation of new computers, including installing software, setting up peripherals (printers, scanners, etc.), and removing and securely disposing of old computers. The FSG Deployment Group will deploy computers across three campus locations as appointments and rooms are scheduled with faculty and staff.
This position reports to the FSG Deployment Group Supervisor. The successful candidate must have excellent customer service and communication skills, time management skills, and the ability to work effectively under challenging circumstances. They must also be able to complete work within scheduled time constraints. Working knowledge of Windows OS and Microsoft 365 applications is required. The candidate must also be able to work independently and as a member of a team.
The successful candidate must be able to anticipate and support customers with a wide range of technological expertise. This work requires a high level of attention to detail, the ability to follow pre-defined processes and workflows to ensure standardization, and the ability to balance both the technical and basic functional expectations of the position.
Primary responsibilities:
As a member of the FSG Deployment Group, follow and assist with pre-defined processes and workflows as assigned, including:
- Activities to support new computer deliveries and maintenance of storage and work areas.
- Configure computers and run OS deployment.
- Accurately update machine and person data in Active Directory and the appropriate inventory, reporting, project, and management tools.
- Prepare computers for daily delivery and deployment to designated offices, classrooms, conference rooms, or designated staging areas.
- Deploy and set up new computers in faculty and staff offices, conference rooms, classrooms, and research labs.
- Install titles from the Software Catalog or Software Portfolio on faculty or staff computers.
- Install peripherals (printers, scanners, etc.)-may require installing drivers or adding to a printer queue.
- Resolve or report for further action any remaining questions or issues as requested by a customer or noted during computer setup.
- Remove old computers by returning them to the designated location and prepare them for secure disposal.
- Complete work within scheduled time constraints and maintain a good working schedule that allows work and daily responsibilities to be completed as scheduled.
Other responsibilities, as assigned:
- Receive, assist, diagnose, document, and resolve incidents, service requests, or assigned project tasks in faculty/staff offices, classrooms, conference rooms, and research labs located across three campuses using a variety of modes of support (including conferencing tools, in person, or both) following all prescribed workflows and pre-defined processes.

Supervisor: Vice President for College Relations
Position Purpose:Plays a pivotal role within the College Relations department, responsible for overseeing the efficient utilization and maintenance of the constituent management system. Essential Responsibilities and Duties:

Serves as the project manager for the anticipated CRM migration starting in fiscal year 2024-2025. Manages gift, pledge, and receipt processes in compliance with internal revenue service, financial accounting standards regulations, payment card industry security council, the council for advancement and support of education guidelines, and auditors' requirements.
- Strategic Alignment: Acts as the primary liaison for College Relations with Finance and Information Technology Services (ITS) to foster collaboration and ensure strategic alignment. Including working closely with Finance on aligning financial reporting periods, fund reconciliations, review of gift processes and controls, and auditing schedules, and working with ITS to ensure CR systems operate effectively and met all data security requirements and ensure
- Staff Management: Promotes a culture of excellence, teamwork, and collaboration among staff, providing clear direction, setting priorities, and fostering a supportive environment for professional growth. Establishes and monitors well-defined, measurable goals for each team member, offering guidance, support, and professional development resources to enhance their effectiveness and achieve organizational objectives.
- Budgeting: Prepares a fiscal year budget in partnership with the Office of the VP for College Relations. Reviews and approves expenditures, consulting with Finance and other authorities as appropriate.
Qualifications:
- Bachelor’s degree and a minimum of seven years of progressive experience in higher education advancement, with a strong understanding of fundraising principles and practices, or a combination of relevant education, training, certifications, and/or work experience. An Advanced degree in information management, data science, or a related field is preferred.
- Proficiency in system administration, networking, relational databases, programming, and documentation techniques.
- Excellent communication and interpersonal skills, with the ability to work effectively with diverse stakeholders.
- Preferred expertise with Ellucian by Colleague and Salesforce technology, preferably including experience with CRM migration projects.

Compensation
The annual salary range this position is $100,000 - $115,000. Except for roles with a set rate of pay, the wage/salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The stated hiring rate/range represents the College’s good faith and reasonable estimate of the rate/range of possible compensation at the time of posting.

About EMPAC | Curtis R. Priem Experimental Media and Performing Arts Center “The concert hall of the 21st century has arrived. But in addition, the huge building, laid out on a hillside, houses a 400-seat theater with comparable versatility; two black-box studios, one geared more toward sound, the other toward sight; and space for rehearsals and other uses. And for their electronic and data needs, all these components have access to one of the world’s biggest supercomputers.” The New York Times (10/08/2008) At the Curtis R. Priem Experimental Media and Performing Arts Center (EMPAC) at Rensselaer Polytechnic Institute (Institute), the arts, sciences, and technology meet under one roof in four exceptional venues. This incredible 220,000 square foot building, designed by London-based Grimshaw Architects, opened in 2008 and is an unmatched model of acoustics, infrastructure, and architectural engineering with state-of-the-art performing arts infrastructure and architectural engineering. EMPAC’s concert hall features 1,165 seats with the ability to sculpt the acoustical soundscape for musical performances and equipment for screens, projections, and staging elements. The Goodman Studio/Theater and Studio 2 are versatile spaces that can be used to create immersive experiences utilizing both projection and sound technology. Artists in residence share their artistic research through the process, and visitors can also engage in experiences ranging from theater productions, concerts, and installations to an interdisciplinary program of screening, talks, and workshops. Research Initiatives In addition to its curatorial program, EMPAC is the center of robust research initiatives driven by Institute students, faculty, and staff from all five schools. Using the venues and with the support of EMPAC’S professional experts, researchers are supported in work centered on the questions of understanding human sensory experience, communication, and interaction with computing systems. From student work to research and performance opportunities, extracurricular clubs to special events, EMPAC offers a range of ways for Institute students to be involved. Job Summary | The Executive Director of EMPAC will guide and deliver on its mission and vision as a global center at the intersection of the arts, science, and technology. They will be accountable for a strategic direction, business model, and adaptive change that are in alignment with the Institute’s Rensselaer Forward plan, including the goal to create the most welcoming and inclusive community possible for faculty, staff, students, and the external community EMPAC serves. The Executive Director will maintain a presence both on and off campus by actively participating in the community and establishing international visibility at relevant conferences and other events that increase exposure and access to artists that could curate, produce, or be presented by EMPAC. These activities are focused on preserving an integrated interdisciplinary pedagogical approach to research, programs, and campus events that inspire active participation by faculty and students in and attendance at EMPAC. The Executive Director will partner with each of the School Deans and Institute Administration to coordinate student learning outcomes, activating EMPAC as a hub for student learning on campus. They will oversee, inspire, and collaborate with a dedicated staff while investing in them and securing the resources that ensure EMPAC remains at the forefront of technological advancements. In collaboration with Institute Advancement and the President, the Executive Director will establish and maintain a portfolio of donor relationships that support the capital and operating needs of EMPAC, including its facilities, programs, and research. Additionally, the Executive Director will spearhead plans with the Office of Community Engagement and Communications to engage with local and regional organizations, as well as too raise the unique profiles of both EMPAC and the Institute in the region and on national and international levels. EMPAC’s core annual operating budget in fiscal 2024 is $4.6 million with additional expenses embedded in the Institute’s operational structure, and it has approximately 40 full-time staff. Qualifications | Qualifications The successful candidate will have a minimum of a master’s degree, or equivalent experience, and 8-10 years of senior management expertise in commissioning, promoting, programming, producing, and/or presenting contemporary music, theater, dance, multi-media, or other experimental creative industry initiatives. A comprehensive understanding of associated production, capacity utilization (both venue and staff), audience development, and venue management is important. Although experience in an academic environment is helpful, those with demonstrable results in nonprofit or corporate structures are welcome to pursue this unique opportunity. Exceptional relationship management, donor cultivation, and creative industries expertise with leading producers and artists at the national and international level is preferred. The capacity to work flexible hours on evenings and weekends is required in best serving the needs of numerous stakeholders.
